What Is a Formal Memo?

A formal memo is a memo used in business that inform employees of new policies, important announcements and information, or details regarding a project. Formal memos transmit important information quickly across to multiple people in a company.

How to Write a Formal Business Memo

In writing a formal business memo, the following pointers should be in mind:

  • Make a heading – A heading usually contains the recipients of the memo. They show the full names of the individual or employees, the sender of the memo, date of the memo, and subject or topic
  • Make the body – It should contain an introduction, the purpose and recommendation, and conclusion
  • Review – And finalize the document and distribute to recipients of the memo

How to Format a Business Memo

It is important that a business memo follows structure or format and the following points make up the format of a business memo:

  • The memo line – The word memo must be clearly written at the center and top of the page.
  • Header block – The header starts with “To:” on the first line. Type in the full names of the recipient and their job titles. Put in “From:” with your name and title on the second line. Place the “Date:” the memo was made. Next is the “Subject:” which is the topic and a little description
  • Opening – Describes the reasons behind the making of the memo. It should just be brief and concise
  • Main block – The opening is then expounded further here along with supporting information. Mark “Attached” for any attached supporting document with a brief description of it.

A memo is often limited to a page but can be a maximum of two. It has to be short and concise that readers can read on the fly.
