When Is a Professional Memo Needed?

A professional memo is made to address the following:

  • to provide information – The introduction of a new policy or procedure at work is an example where a memo can directly answer. If a policy is complicated, a memo states the key points in the policy.

How to Write a Professional Memo

In writing a professional memo, a clear structure has to be followed.

  • Summary – A professional memo, contrary to academic writing, starts with the summary of the topic of the memo. Major points to consider regarding a topic are highlighted, putting the common end of a literary piece at the beginning. This is done since readers to a professional student memo do not often have much time in reading memos in that they just skim through the entire document.
  • Background – This part of the memo shows the context of the topic or details surrounding the topic
  • Body – The body of a professional memo states the solutions or potential solutions for issues presented by the topic. This is where solutions must be proven and analyzed. Counter arguments are also otherwise presented and answered
  • Conclusion – The recommendations and the next steps are then described and outlined. This includes a call to action which gives the reader a sense of obligation.

A professional memo is also written in the active voice rather than passive to get positive action from the reader.
