Some states require that both parties abide by certain housing or tenancy laws and policies, while others simply do not. In this case, tenants and landlords have different obligations and responsibilities as stated in their agreement and/or contract. One responsibility that both parties have to comply is the submission of a formal notice to vacate letter in order to formally document and make the decision known. The notice will outline the details pertaining to the decision like the date when the tenants will move out, the reason, and so on.

How to Write a Notice to Vacate Letter

You can follow this short and easy guide in writing a notice to vacate letter:

1. Indicate the addresses

Since this is notice is in a letter format, addresses for both the sender and receiver should be indicated. The return address is written on the right or left uppermost part of the page. It should contain the name of the sender, complete address, and contact information. Next, the inside address contains the name, address, and contact information of the recipient. After the address, the date when the letter was written should be indicated.

2. Write subject line

The subject line presents a clear overview of the subject or topic discussed in the letter. In most cases, the subject line for a notice to vacate states just that—Notice to Vacate. The subject line should be short, direct, and easily understandable. It should only include a few words, like how one would normally write in a topic outline or short sentence.

3. Write salutation

The salutation of the letter should include the preferred title of the recipient along with his or her last or first name. Since you already have the details of the recipient, it is important to spell out his or her name.

4. Provide the purpose and supporting details

The first paragraph is for the introduction; it should explain the purpose as to why the notice letter is written in the first place. The body should include the important dates, e.g. when the parties signed the agreement, last day of tenancy, etc., the clause in the agreement or contract that has been violated, and so on. It is important to write the body of the letter as clearly as possible by providing all the relevant and necessary information.

5. Conclude the letter

Once you have stated all the important details pertaining to the subject of the letter, close the letter stating your contact information should there be any issues or questions. Moreover, formally conclude the letter by indicating a complimentary close, e.g. Sincerely, Respectfully, Cordially, etc. Below the complimentary close should be the signature line that reflects your printed name and signature.
